Job summary

In this role you will work to support the secretarial team with administrative duties and be responsible to ensure data quality related to the administration of patient pathways, including 18 week referral pathways. You will also be required to deal with patient queries on the telephone, book appointments for patients and reschedule if required.

You should be literate and numerate, with excellent organisational, time management and IT skills and an ability to work without supervision. Typing experience is desirable but not essential. You will have a high standard of communication and interpersonal skills with the ability to work with staff at all levels. You will have enthusiasm, motivation and demonstrate pride in your work.

Main duties of the job

Dealing with as requested by the Administration Manager patient appointment information, checking waiting list information etc. Including validation of patient data.

Works in close liaison with the Administrative Manager and secretaries and to assist in the smooth running of the Clinical Team's secretarial and administrative service.

Works to the SOP's developed to support patient pathways.

Job responsibilities

Providing administrative support to the office, including, filing, photocopying, scanning, opening and distributing mail as appropriate. Ensuring any emails/post requiring urgent attention or action are dealt with in a timely and appropriate manner

Have an understanding of the Trusts Access Policy and other National/Local targets ie. Cancer, RTT, and works to the standard operating procedures developed to support patient pathways.

Dealing with as requested by the Administration Manager patient appointment information, checking waiting list information etc. Including validation of patient data.

Appointing patients and rescheduling appointments as required.

Assist with any data collection and entry required at service level.

Deal with telephone enquiries from patients, relatives, etc, which may be of a sensitive nature, in a constructive and sympathetic manner, referring to the appropriate person where necessary and documenting all phone messages on EPR to ensure a comprehensive audit trail.

Ensure that EPR is kept up to date with conversations with patients and that all investigations and other results are available for clinic appointments/admissions and that letters/results are saved in the appropriate place.

. Maintain efficient office systems, and maintain a system for all CBCT referrals. Liaise with other departments/hospitals wards or staff.

To ensure accuracy when administering relevant IT systems. The systems could include EPR and/or other local IT systems.

Person Specification

Experience

Essential
  • Experience of NHS Patient Administration Systems
  • Experience of working face to face and/or telephone contact with the general public
Desirable
  • Previous administrative/office experience
  • Experience of relating to people at all levels

Skills

Essential
  • Excellent verbal and written communication skills
  • Ability to achieve thoroughness and accuracy when accomplishing a task
Desirable
  • Typing experience

Knowledge

Essential
  • Knowledge and understanding of Microsoft Office Packages, including use of Excel, Power-point, Access, internet, email, Word etc
  • Knowledge of Patient Administration Systems

Qualifications

Essential
  • Educated to GCSE grade C and above including Maths and English*
