Job summary
Acklam Medical Centre is looking for a motivated, dynamic, and enthusiastic candidate to join the team as an Administrator.
We are a forward-thinking practice based on a single site with a practice population of 11,200 striving to provide excellent patient centred care.
Knowledge and experience of Primary Care is essential and you will need an organised approach to your work, strong IT skills, an ability to work flexibly and under pressure, and be a problem solver.

Main duties of the job
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
Provide administration support such as registering new patients at the Practice, arrange annual follow up reviews and any other duties required within the Practice admin department.

Job responsibilities
Administration
- First point of contact per patient queries. Direct access to Social Prescriber and Mental Health teams, Patient Participation Group
- To have a thorough knowledge of all Practice procedures.
- To work in accordance of written protocols
- Filing post in medical records
- Photocopy as requested
- GPPA administration management (ensuring all clinical letters are scanned to notes and accurately coded)
- Photocopying medical records
- Preparing invoices
- Ordering of stock and stock control
- Dealing with private reports for patients
- Recall and monitoring of immunisations
- Recalls
- Support with Reception cover as and when required, this is not a reception role but if support is required it would be expected
- Receiving patients consulting with members of Practice team
- Handing completed repeat prescriptions to patient and checking names and address.
- Be able to cover all reception positions as necessary
- Process appointment requests for today, future appointments from patients by telephone and in person.
- Deal with visit requests
- Registrations of new patients
- Process patients change of address computer data and medical records (have knowledge of Practice area).
- Process repeat prescription request in accordance with Practice guidelines (if necessary in absence of prescription clerks).
- Scanning of correspondence and Read coding
- Running reports and identifying patients who require an annual review and sending out invites and booking into the appointment ledger
- Have working knowledge of telephone system
- Any other tasks allocated by the management team
Person Specification
Experience
- Experience of working in the NHS
- Experience in General Practice
- Experience using SystmOne
Qualifications
- GCSE grade A to C in English and Maths
- Business Admin Level 3
