Job summary

An exciting 12 month fixed term opportunity has arisen for an administrator to join the team within the busy Ophthalmology department at the Luton and Dunstable Hospital. We provide a wide range of services for a range of eye conditions. This is an exciting time to work in Ophthalmology as there are a number of service improvements underway to transform eye care in the hospital and community.

The post holder will utilise relevant IT systems including the clinics and patients admission, maintaining a high standard of data quality at all times. IT skills and literacy and therefore vital for this role, alongside excellent communication, customer service and organisational skills.

Main duties of the job

The post holder will be working in the Ophthalmology department. They will be part of a team who provide the administration of the patient pathway.

We are looking for an enthusiastic individual to support the Ophthalmology administrative team with booking appointments, logging referrals, updating waiting lists, typing, calling patients and other administrative duties.

Job responsibilities

Book appointments in accordance with the Trust Access Policy and standard operating procedures.

Add patients to the waiting list and enter 18 week coding data onto the IPM system.

Typing of clinic letters, proof reading, printing and posting.

Logging of referrals.

Answering calls from patients and ringing to book patients in.

Provide a customer focused service dealing with all patients or visitors in an efficient, polite and courteous manner

Handle queries from patients/relatives confidentially and sensitively; referring clinical-related queries to appropriate staff

Interact with patients and relatives in distress in a sensitive and empathetic manner

Take and relay as appropriate, telephone enquiries and messages, using initiative and prioritising skills when disseminating information

Arrange interpreter services where indicated Provide cover across the team as and when required

Person Specification

Qualifications

Essential
  • GCSE mathematics and English (or equivalent)
  • EDCL or equivalent experience
Desirable
  • Apprenticeship in Medical Terminology AMSPAR Certificate / typing qualification

Experience

Essential
  • Knowledge of record systems/data bases with proven experience
  • Experience in working within a confidential environment
Desirable
  • Previous NHS experience
  • Previous experience working in Ophthalmology or Outpatient bookings

Knowledge

Essential
  • Knowledge of patient confidentiality

  • Knowledge of NHS IT programmes
