Job summary

An exciting opportunity has arisen to appoint a highly motivated Administrative Officer to join the West London Integrated care service which supports My Care My Way (MCMW) and District Nursing teams in Central London Community Healthcare.

As first point of contact for patients and staff members successful candidates will possess excellent organisational skills with strong verbal and written communication abilities. The post requires the ability to work on your own and use your initiative, in addition to being a committed team player to a multi-disciplinary team. You must be able to deal with confidential issues in a professional manner and be able to work under pressure.

Main duties of the job

A good knowledge and experience in using Microsoft packages word and excel are essential, and the candidate will be comfortable using these to perform various tasks such as minute taking, stock management, inventories, and keeping track of orders. The candidate will show themselves to be adaptable in terms of learning new systems and processes as and when they arise.

You will be expected to provide administrative and reception support to the clinical teams in order to ensure that clinical hubs are supported. You may be asked to work across local sites to provide administrative support so will need to be flexible and able to travel.

Education/Qualification

Essential
  • oGood general standard of education at GCSE level (Grade A-C) including English and Mathematics or equivalent Level 2 qualification(s)
  • oEducated to diploma level or equivalent level combination of NVQ 3 education, short courses and experience
  • oRSA II or equivalent
  • oECDL/Microsoft or equivalent

Experience

Essential
  • oPrevious administration/secretarial experience
  • oExperience of working with the general public in a customer or client-facing role
  • oExperience in running an office including managing, maintaining and developing databases and filing systems including bring forward, maintaining stationery/stock levels and diary management.
  • oExperience of inputting to databases, spreadsheets and/or other IT Systems and business applications used in the office environment
  • oExperience of using patient administration systems
  • oExperience of dealing with enquiries from the public and partner organisations
  • oExperience of prioritising workload to meet conflicting Demands
  • oExperience of organising meetings and events including speakers
  • oExperience of publisher as well as utilising scanner and colour printer for OHP's etc
Desirable
  • oExperience of working in the NHS/Public sector

Skills and Knowledge

Essential
  • Knowledge of a range of secretarial procedures
  • Understanding of patient pathways and medical terminology in own area of work
  • Working knowledge of Patient Information Systems, e.g. Systemone
  • Excellent communication skills both verbally and in writing with the ability to communicate at all levels and across a variety of agencies with negotiating and persuasive skills
  • Excellent organisational and administrative skills
  • Excellent time management skills
  • Proven ability to balance competing and often conflicting demands for resources, in order to achieve local and corporate objectives
  • Experience of taking, producing and distributive formal minutes
