Job summary

This is an exciting new role within the Practice Team.

We are looking for an enthusiastic, knowledgeable and committed individual who will work with us to maximise the use of Information Management and Technology within the practice to improve patient care.

The post-holder will ensure all IT and Technology within the Practice runs effectively to enable the Practice to operate efficiently.

Main duties of the job

The post-holder will also:

  • Lead the Practice in developing the use of information management and technology to enable it to meet modernisation targets, maximise income and improve patient care.
  • Work to improve the IT knowledge and ability across the practice team supporting the role of IT trouble shooters within each team.
  • Have the flexibility and responsiveness in their role to be able to ensure there is a consistent availability of IT support throughout the week including OOH installations etc as necessary.

About us

We are a large, friendly 19,500 patient practice on the South Coast, 15 mins from Brighton.

We have a team of 14 Nurses and HCA's, 16 GPs (Partners and Salaried), an administration team, reception team and Pharmacy team.

We are environmentally friendly and have a modern low carbon emission building with Ground Source Heat Pump and Solar Panels. We have a shower and are looking to install a bike shed.

Job responsibilities

KEY RESPONSIBILITIES

  • Ensure all IT and technology within the Practice runs effectively at all times. This includes SystmOne, other Clinical Software (ECG / Spirometry etc), NHS Mail, All aspects of Windows, Docmail, the Telephone System, Printers etc
  • Responsible for day to day Digital & IT problem management and resolution
  • Act as the key liaison between the practice and SCW (NHS IT Support), system, software and telephony suppliers
  • Effectively implement software and hardware upgrades and renewals
  • Hold the role of Non-Clinical Caldicott Guardian (alongside Clinical CG Lead) - to be the operational lead for GDPR for the Practice
  • Be aware of CQC requirements and work to facilitate the practice to meet these requirements
  • Being part of leading a cultural change in the practice to be more proactive in the use of IT solutions to facilitate positive change and improved patient care
  • Research, identify, recommend and implement new technologies and systems that will enhance patient care and / or clinician workload and / or the cost efficiency for the Practice
  • Ensure effective compliance to the NHS Data Security & Protection Toolkit (including annual submission)
  • Involvement in the leadership and planning of the work of all practice teams.
  • Act as a key lead in the Business Continuity Planning of the Practice
  • At the request of the Leadership Team, to provide any of the following reports (example list) at intervals to be established or on an ad hoc basis:

- Capitation / Patient Statistics

- Targets / LCS / QoF figures

- Inadequate smear tests

- Audit / Data Quality

- Recalls

- Workload Analysis

- Appointment Analysis

- Repeat Prescription data

- Birth/death analysis

- Searches for Monthly and Quarterly clinical claims

- Any Other reports as required

  • Establish and maintain a set of protocols for the Practice covering all aspects of the role
  • Facilitating the IT training of all staff in the team
  • To establish and maintain procedures for adequate, regular daily backup of all necessary systems and make regular checks to ensure that backups are not corrupt and that back up restoration would be possible in the event of a problem arising. To establish a protocol for night security and to ensure that this protocol is followed.
  • To ensure proper records are maintained concerning System Suppliers and support
  • To maintain awareness within the Practice of health and safety matters, particularly regarding computer usage and to advise the Managing Partner accordingly. If necessary conduct a training programme for personnel with regard to this
  • In conjunction with the GP & Nurse Rota Lead, involvement in arranging the appointment templates for the Doctors, Nurses, and attached staff (eg FCP / EWS staff)
  • Responsible for setting up clinical templates in SystmOne, using the appropriate Snomed codes for the purpose of extracting data from the database for use in audits & reports
  • Write and maintain searches to ensure correct data collection for such things as claims and recalls as appropriate
  • Represent the Practice at User Group Meetings, including, but not limited to, SystmOne User Group, Accurx, APEX, ICB Digital User Group meetings and feedback / implement changes in liaison with the Managing Partner / IT Partner
  • Act as a positive role model to all members of staff at the Practice, patients and third parties; work effectively, efficiently and flexibly alongside other members of the management team to ensure the Practice works effectively and harmoniously and is prepared to go the extra mile
