You will provide all administrative duties for the team, including letters, appointments, telephone calls, as well as responding effectively to enquiries from the public, service users, other agencies.

Main duties of the job

The successful candidate will need to have proven experience working within a fast-paced environment, demonstrate a flexible approach, with the ability to manage workload and maintain professionalism during busy periods.

A typical days duties will involve undertaking general administration/secretarial duties that are specific to the Herefordshire and Worcestershire CAMHS community crisis Team.

Manage incoming and outgoing emails and letters/correspondence.

You will require excellent communication skills, as you will often be the first point of contact for the service answering to telephone enquiries and arranging appointments for those accessing and referring to the service.

Other duties include undertaking general office duties, as required, e.g., typing, data inputting, filing, scanning/copying, in line with Trust Policies and Procedures.

Arranging, confirming appointments and meetings, making appropriate arrangements e.g. hospitality, booking venues, equipment, etc

Job description

Job responsibilities

The successful candidate will be required to:

Manage and prioritise own workload effectively;

Communicate information to colleagues and staff from internal/external contacts;

Excellent keyboard skills;

Answer/deal with face-to-face, written and telephone enquiries in a professional manner, recording messages efficiently and relaying to relevant individuals in an appropriate and timely manner;

Prepare for and attend appraisal meetings, and complete all mandatory training, required by the Trust.

Be a flexible and supportive member of the team, providing cover during staff absences or high demand;

Maintain accurate and detailed records in accordance with the Trusts policy and guidelines;

Type/word-process routine documentation that is specific to the role, e.g. letters, reports, minutes;

Input data accurately onto bespoke systems on a daily basis;

Adhere to the local and National Health and Safety regulations and the Trusts Policies and Procedures.

Knowledge

Essential
  • Knowledge of a range of administrative/secretarial procedures
  • Detailed knowledge of Microsoft Office: Word / Excel / Outlook
  • Understanding of the Data Protection Act and NHS Code of Confidentiality

Experience

  • Recent, relevant Administrative/Secretarial experience (usually demonstrated by a minimum of 2 years experience)

Qualifications

Essential
  • Educated to academic Level 3 (e.g.: A-Level, NVQ3, OCR/RSA3, City and Guilds 3) in a Business/ Administration related subject or Educated to academic Level 2 (e.g. GCSE Grade A-C) with considerable recent NHS administrative experience and will be expected to undertake the relevant level 3 qualification on appointment to post
