Main duties of the job

We are looking to recruit 3 new Change Managers to work across our Trusts (George Eliot Hospital and South Warwickshire University NHS Foundation Trust), Primary Care and Innovate stakeholders, on digital and transformation projects and programmes. These roles are key to ensuring our change management capability is strengthened ahead of the start of our Electronic Patient Record (EPR) programme.

As a Change Manager, you will be instrumental in driving change, collaborating with a diverse range of operational, clinical and administrative stakeholders. This role will lead and drive the change management activities required to implement new business processes as part of embedding improvements, new digital solutions and the upcoming EPR.

What you will be doing:

  • As Change Manager will be at the forefront of the change, working with all stakeholders in the acute, primary care and community settings.
  • You will be part of Innovates Business Change Team and will work closely with the Digital Change and Transformation Manager.
  • Your role will be central to reducing risk, to driving improved adoption and overall enabling required change to enable benefit realisation.

Job responsibilities

  • Planning and organising a broad range of complex activities, including influencing and adjusting plans to align project and operational wider plans and strategies.
  • Implementing new ways of working, facilitating collaborative working and capacity planning.
  • Development and delivery of relevant impact assessments, plans, processes and materials to enable the change i.e. business readiness assessment, change sustainability plans, new processes, benefits realisation plans and tracking.
  • Support the implementation of Change plans and monitor progress of plans against success criteria, and maintain alignment to business case as relevant.
  • Note: Scope of plans may include change management, engagement and communications, and benefits plans, benefits profiles, and training plans.
  • Input, and support training requirements e.g. create learning/training plans and materials.
  • Manage stakeholder engagement and communications in terms of change management, set up advocacy and mobilise change agents or champions as required.
  • Lead stakeholder engagement and communication initiatives and identify and help to address any resistance.
  • Core responsibility for ensuring patient care is considered within change management plans/ activity and that the patient perspective as a key driver in continuous improvement.
  • Responsible for reporting on delivery of Change Workstreams, project change activities and BAU initiatives as required.
  • Influence and design services relating to patient care and patient/work flows, including administrative and operational workflows which have a direct impact on provision of services.
  • Act as an effective change agent in the delivery change workstreams and activities.
  • Strategy
  • Ensure change management delivery is in line within the relevant organisational Digital, Improvement, Clinical and Patient Safety Strategies as relevant particularly with identified key delivery principles.
  • Deliver new solutions within the context of wider service improvement programmes, the EPR programme and service and strategic priorities.
  • Support and contribute to the long-term strategic planning and alignment relating to the change management programme across both Trusts, primary care and all customers.
  • Have an awareness of the ICB Integrated Care and Digital Strategies and understand the interdependencies across organisations and digital programmes of work.
  • Assist with development of Business Cases and funding bids as required.
  • Identify opportunities, resources and obtain commitment for other information system projects that offer benefits to the Digital Transformation and EPR Programmes.
  • Analytical Skills
  • Impact Assessments: Assess the change impact and evaluate user readiness by conducting impact analyses, assess change readiness and identify key stakeholders.
  • Manage Risk & Issues - Identify, analyse and prepare risk and issue mitigation tactics Make judgements and recommendations on risks and issues, considering complex and/or conflicting information to produce a range of options to the Project / Transformation Boards for the implementation of resolutions or mitigating actions.
  • Resistance to change - Identify and manage anticipated resistance utilising recognised change management tools and techniques.
  • Measurement - Define and measure success metrics and monitor change progress. Input to, and support with the development and monitoring of benefits realisation plan including identifying metrics to monitor and report to the key stakeholders when needed.
  • Reporting - Responsible for ensuring accurate and timely reporting of change to key stakeholders, at an individual project level, as well as at a holistic change management service level. Utilise systems which provide accurate/analytical and statistical information and produce relevant reports based on improvement and transformation outcomes. Prepare highlight/update reports as required to cover progress against key milestones, and variances to plan.
  • Development
  • Plan and manage change activities within a project, including establishing baselines for change, aligning change to benefits, working closely with change and training teams, and clinical and operational users.
  • Work with key stakeholders to ensure that there is clear understanding of the problems and commitment to the proposed plans and implementation.
  • Policy and Service Development
  • Input to policy and services changes impacting on areas outside of own area of responsibility.
  • Ensure PRINCE2 and/or alternative project management principles are followed within the change management aspects of projects as relevant and promote these principles to others within the project team as appropriate.

  • Communication and Engagement
  • Undertake formal presentations and provide regular updates, comprising various levels of technical business process information and narrative, to diverse groups e.g. Service Managers, Project Boards, Clinical Groups, Strategy and Governance Groups
  • Inform and persuade stakeholders and decision makers about proposed business process changes, including structured explanations of highly complex, sensitive or contentious information which requires agreement and co-operation of all parties.
  • Strong motivational and interpersonal skills to encourage collaborative working to deliver change, where there may be resistance, though to effective engagement with business units, management and clinical teams.
  • Staff Management and Leadership
  • Effectively provide leadership to teams linked to the change initiatives.
  • Demonstrate a consistent leadership style which (a) engages, enables and empowers others (b) uses coaching to promote ownership of learning and quality improvement and (c) facilitates team working and collaboration within teams / departments and across organisational boundaries.
  • Line management of Change Implementers as required.

Person Specification

Qualifications

Essential
  • Educated to degree level or equivalent experience delivering major change programmes.
  • Relevant change management qualification, e.g. ONE of: Change Management Institute ACMF (Accredited Change Manager Foundation); and equivalent experience.
  • Evidence of continuous professional development.
Desirable
  • PRINCE2 Project Management Foundation Level Qualification. Training or coaching qualification

  • Strong project management and organisational skills, and a high awareness of project and programme context and discipline.

  • Experience of managing, implementing, facilitating, and monitoring change initiatives
  • Flexible and adaptable; able to work in ambiguous situations: Resilient and tenacious with a propensity to persevere
  • Forward looking with a holistic approach.
  • Strong analytical skills with experience of assessing the impact of change by conducting impact analyses, assess change readiness and identify key stakeholders.
  • Excellent understanding of computer systems and digital transformation; ideally includes hospital digital systems.
  • Independent means of transport for frequent travel to Innovate and customer sites.
  • Able to work a variety of working patterns
