Administrator and Appointments Scheduler (Maternity Cover)
Job summary
We are looking for a conscientious individual with initiative, common sense, resilience, good communication and good knowledge of Microsoft Office, to work alongside our Appointments and Nursing Admin Team to provide cover during a maternity absence.
Main duties of the job
This role is a fantastic opportunity to learn how a GP Practice manages its appointment systems. You will be trained to create appointment types and appointment rota templates and to apply these across clinicians using SystmOne, which is the clinical system used within our Practice. Part of your responsibility will be to block appointments when clinicians have meetings or other responsibilities to undertake, liaising with them where appropriate, as well as ensuring holidays and sickness are recorded appropriately. The role will also involve talking to patients when clinics are cancelled. You will gain an understanding of NHS Contract requirements including core hours and extended hours and undertake any other relevant administrative tasks appropriate to the role.
Additionally, you will support the Nursing Admin Team with general administration including preparing inductions, contacting and booking patients for cervical cytology, coil checks and annual reviews, plus cancelling and amending clinics where required.

3. To put relevant information onto the appointment information screen
4. To block appointments when necessary to meet the business or the individuals needs
5. To communicate changes to all relevant parties regarding clinics and appointments
6. To ensure annual leave requests are actioned in accordance with the organisations policy
7. To record annual leave and absence
8. To develop an excellent understanding of the NHS Contract in terms of appointments and opening hours and gain knowledge of the rules around extended/enhanced access
9. To contact patients to book annual recalls for their long term conditions, or cervical cytology, or coils etc
10. To amend or cancel clinics, re-booking patients where necessary
11. To compile and keep up to date new starters folders
12. To assist with preparing inductions for new clinical staff
13. To ensure Patient Group Directives (PGDs) are completed and signed
14. To record relevant information in different formats
15. To undertake Photocopying tasks as requested
16. To undertake audits to ensure fairness or determine workload
17. To assist in any other task/duties as requested
Person Specification
Experience
- 2 years experience of working with the public
- Experience of reception work
- Experience of working within General Practice
Qualifications
- Good standard of general education (5 or more GCSE grade 4 (C) or above)
- GCSE Maths grade 4 (C) or above or equivalent
- GCSE English grade 4 (C) or above
