Project Support Officer

Job summary

An exciting opportunity has become available within the Transformation and Redesign Directorate at Gloucestershire Integrated Commissioning Board. This project support role will provide robust administrative and project support to our Integrated Flow Hub and System Control Centre, to enable key operational teams to deliver their priorities through a Clinical Programme Approach.

Main duties of the job

Duties will include but not limited to:

Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.

Developing and maintaining effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team.

Preparing agendas, taking minutes, and distributing notes of meetings

Working with all team members in the collection of information for performance reporting on relevant projects.

Maintaining project documentation including Project Plans, Highlight Reports, Risk and Issues Logs.

Job description

Job responsibilities

Key Purpose of Job:

To provide robust administrative support for a variety of projects in the Urgent and Emergency Care & System Flow team and Transformation Directorate.

To enable Clinical Programme Groups (CPGs) to deliver their priorities through a Clinical Programme Approach by completing various project support functions.

The job description and person specification are an outline of the tasks, responsibilities and outcomes required of the role. The job holder will carry out any other duties as may reasonably be required by their line manager.

This job description and person specification may be reviewed on an ongoing basis in accordance with the changing needs of the Directorate and the Organisation.

Key Responsibilities:

Project Support

Organising, attending, and minuting project meetings and other related CPG meetings as appropriate.

Organising, attending and helping to run workshops as appropriate.

Maintaining project documentation including Project Plans, Highlight Reports, Risk and Issues Logs.

Completing project research as required.

Updating project budget spreadsheets as directed.

Typing up flipcharts and collating any relevant feedback.

Provide comprehensive administrative support to the System Control Centre and Integrated Flow Hub

Supporting any project evaluation work.

Any other project support as required.

Person Specification

Qualifications

Essential
  • Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
  • Significant administrative experience including initiating and maintaining office systems.
  • Experience in dealing with the public and dealing with sensitive and confidential information.
  • Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, Powerpoint.
  • Understanding of Confidentiality and Data Protection Act.
  • Ability to demonstrate how work contributes to the delivery of projects.
Desirable
  • Knowledge of NHS issues.
  • Experience of working on projects.
