IES Medicines Optimisation Business Support Officer - Band 4

Job summary

We are seeking an enthusiastic, self-motivated Business Support Officer, to join and support our award winning Ipswich and East Suffolk (IES) Medicines Optimisation team.

The role offers home based working with occasional office visits, no weekend or bank holiday working and part-time hours will be considered.

In this role you will have the chance to grow and develop your skills supporting the implementation ofmedicinesoptimisation initiatives byundertaking a range of activities which supports members of theIES Medicines Optimisation team and wider teams and working closely with GP practices, Primary Care Networksand pharmacy staff within practice. Your role will also involve providing administrative and secretarial support to the IES Medicines Optimisation team,answering incoming calls, co-ordinatingand supportingmeetings,and drafting documents. You will also be involved in specific discrete project areas as directed and undertake basic data analysis.

Main duties of the job

Act as the first point of contact for the Ipswich and East Suffolk Alliance Medicines Optimisation team, redirecting queries or cascading information when required.

Establish and maintain accurate and high-quality administrative procedures including, but not limited to:

o Production and maintenance of accurate and up to date email distribution lists.

o Maintenance of established filing systems using MS Teams/SharePoint.

o Production of professional correspondence which is consistent in appearance and adheres to ICB corporate branding requirements.

Co-ordinate diary events and arrange meetings as required by the team or wider ICB. This will include, but is not limited to:

o Liaison with external venues, suppliers, and caterers as required.

o Production of attendance records, agendas, and associated papers.

o Accurate note taking at formal meetings (both internal and external to the ICB) as required.

o Production of minutes/action logs in the appropriate format and within the given time limit.

Produce and maintain accurate records of GP practice achievement against prescribing initiatives and be responsible for communicating this information to practice teams in a timely and professional manner.

Undertake specific discrete projects / areas of work as directed, including maintaining and updating specific medicines management project databases.

Job responsibilities

The post holder will act as the first point of contact for the Ipswich and East Suffolk Alliance Medicines Optimisation Team and will provide robust and comprehensive administrative support to team members.

The post holder will have a number of responsibilities including, but not limited to:

o Regular, professional correspondence with GP practices.

o Diary co-ordination and events/meetings management.

o Maintenance of accurate records.

The post holder will support the teams higher ambition to improve the health of the local population through the implementation of medicine optimisation strategies that:

o Improve health outcomes.

o Reduce avoidable harm.

o Avoid waste.

Person Specification

Qualifications

Essential
  • 5 GCSEs at A-C, to include maths and English or equivalent.
  • NVQ 3 in administration or similar qualification
Desirable
  • A-Levels
  • ECDL
  • RSA II/III
  • Excel training

Knowledge

Essential
  • Good understanding and working knowledge of full range of administrative systems (paper based and electronic formats).
Desirable
  • Basic understanding of Integrated Care Boards and their position within the NHS structure
  • Basic understanding of the concept of Medicines Optimisation.
  • HR processes, such as sickness/absence recording, recruitment etc.

Skills

Essential
  • Proficient in the use of a range of Microsoft programmes
  • Good time management, organisation, and planning skills.
  • Able to work flexibly and under pressure, whilst maintaining accuracy.
  • Good communication and interpersonal skills, both verbal and written.
  • Well-developed listening skills.

  • Experience of working within a diverse and challenging environment, with rapidly changing priorities.

  • Administrative experience within the NHS.
