Job summary

*MATERNITY COVER (3 MONTHS) WITH THE POSSIBILTY OF EXTENSION*

We are looking for a motivated, reliable, conscientious and committed individual who can make a valuable contribution to our team. We are seeking a Deputy Practice Manager to work as part of our multi-disciplinary team to deliver a strong and supportive Managerial and Admin Support service and perform a wide variety of tasks. The post holder should be computer literate (with experience of SystmOne) and have at least two years primary care administration experience. The post holder must have excellent communication skills, be organised, work well under pressure and enjoy working flexibly within a multi-disciplinary team setting. They should be able to multi task and show initiative.

Remuneration is commensurate with experience and is expected to be in the region of £17 per hour

Main duties of the job

This will be an interesting and varied role for a skilled Deputy Practice Manager who would enjoy working in a small but busy urban GP practice. The role responsibilities require a methodical, level headed approach who is comfortable working to multiple demands and priorities. The post holder will report to the two Managing GP Partners and will interact with staff, patients and support staff on a daily basis. The ideal candidate should have excellent interpersonal skills and be willing to support the whole team.

North Kensington Medical Centre is a small training practice with 5000 patients in West London (between Ladbroke Grove and Latimer Road). We have a full complement of clinical staff who delivers a wide range of primary care services.

Provide high level administrative support to the Practice

To liaise with CSU, SystmOne and the registration authority for IT and Smart card queries

Provide a main contact with the CCG and other external organisations, distributing mail appropriately and in a timely fashion

Use SystmOne clinical system to run searches and reports to complete payment claims

Record staff holidays, absence and training

Organise staff training sessions and book staff onto courses

Keep the practice website, intranet, leaflets, and information up to date

Draft and send letters using large scale mail merge

Interrogate data for audit purposes.

Managing Complaints

Managing staff and room rota

Attending PCN and CCG meetings on behalf of the practice

Direct line manager for reception and admin staff

HR issues/liaising with HR

Preparing for CQC inspection

Maintain the appointment system and set up templates in order to do so.

To provide and maintain information required for public health targets. This will include data checking and liaising with the clinical team to improve performance.

Take part in practice performance related to recalls for patients.

Any other appropriate duties as required by the Partners

Person Specification

Experience

Essential
  • At least two years experience working in an GP Practice administrative role**
  • Able to use Word/Excel/Powerpoint to a high level
  • Experience of GP clinical software SystmOne**
  • Experience of producing rotas on SystmOne**
  • Experience of CQRS and Open Exeter
  • Demonstrable knowledge of confidentiality, safeguarding, and health and safety **
  • A good understanding of general practice and primary care **
  • Experienced Team Leader
