Dispenser/assistant dispenser (trainee)

Job summary

We are looking for a dispenser that has a minimum of an NVQ 2 in Dispensing Services or an assistant dispenser that would be willing to under go training to join our small friendly team. It is essential to have excellent organsiation and communication skills and be proficient with the use of IT.

Main duties of the job

Duties involve all aspects of a busy dispensary, including handling scripts, making up prescriptions, ordering stock, checking orders, patient record input, stock control and general housekeeping.

There is also the opportunity to combine this role with some general administrator duties.

The practice is based in the rural village of Reeth, about a 20 minute drive from Richmond and Leyburn. We have about 1500 patients on the practice list and provide high quality personalised medical care.

Duties

Respond to all queries and requests for assistance from patients, doctors and other visitors.

Ensure that patients without appointments but who need urgent consultation are seen in a logical and non-disruptive manner.

Enter requests on the computer for Home Visits and ensure the doctor is informed.

Utilise computer system to ensure efficiency of appointments system and monitor the flow of patients unto the consulting and treatment rooms.

Obtain all of the necessary documentation for the registration of new and temporary patients.

Check the computerised diary daily for variations in staff cover.

Advise patients of relevant charges for private services, accept payment and issue receipts for same.

Receive specimens from patients ensuring all their details have been recorded whilst following the practice Health and Safety policy.

Check practice stationery and request reordering of supplies or photocopy supplies where necessary.

Ensure the reception and waiting area are kept clean and tidy. Tidy clinical consulting rooms in between a.m. and p.m. surgeries. Tidy and sort toys, magazines and leaflets, discarding old or damaged items as necessary.

Open and distribute mail when requested to do so.

Ensure mail is posted every day.

Watch for and report to the Partners any matters affecting safety or security.

Any other appropriate duties given by the Partners that assists in the smooth running of the practice.

Preparation of consulting rooms

Organise and co-ordinate, that the consulting rooms are prepared in readiness for each consulting session, checking full range of forms and requirements and re-stocking as required.

Ensure that the consulting rooms are checked at the end of each consulting session and left tidy and secure.

Management of appointment system

Ensure total familiarity with all appointment systems in effect, including regular and incidental variations.

Book appointments and recalls, ensuring sufficient information is recorded.

Monitor effectiveness of the system and ensure that action is taken to resolve any problems or effect variations as required.

Update patients records by scanning documents into the computerised medical records according to the scanning protocol.

Complete any patient tasks given to administration in a timely manner and ensure that this is recorded.

Enter data accurately into patient notes when requested to do so e.g. blood pressure readings, cervical smear results, and vaccinations. Use the quick note system for recording information that does not need to be read coded.

Operating of telephone system

Receive and make calls as required. Divert and take messages as appropriate.

Ensure that system is operational at the beginning of each day and that any other telephone operations you are responsible for are undertaken.

Start and end of day procedures

Open up reception area at the start of day and make all necessary preparations to receive patients.

Secure and tidy reception, waiting room and common room area at the end of day. Ensure that bins have been emptied and internal lights are off and all windows locked.

Prescription Handling

Taking in and processing repeat medication via on-line ordering, phone and in person in a timely manner.

Accurate telephone ordering of dressings through third party suppliers.

Preparation of patient dosette boxes and associated administration under guidance.

Ensure the correct medication is given to the patient confirming the details shown on the prescription form and the label, and confirming the dosage instructions where appropriate.

Assist the patients in accurately completing any exemption criteria on the reverse of the prescription form.

Advise patients about pre-payment certificates and how to apply for exemption certificates.

Collect prescription fees (NHS and private) from patients.

Professional responsibilities & development

Maintain continued education by attendance at courses and study days as deemed useful or necessary for professional development as agreed by the partners and the personal development plan.

Dispensary administrative responsibilities

Unpack and receive deliveries alongside colleagues.

To maintain accurate and comprehensive records of all dispensary transactions in the patients electronic notes.

Ensure that fridge temperatures are recorded daily and that variations from the SOP are adhered too.

Entering invoice details onto the computer and filing correctly.

Completing dispensary returns such as NWOS and Wardles.

Ensure the safe disposal of returned and out-of-date medications.

Maintain and order stocks of dispensary and NHS stationary.

In participation with nursing colleagues and the dispensary supervisor, ensure the maintenance of equipment and stock levels relating to patient care.

Following successful probationary period and after adequate training (as advised by dispensary manager) the following tasks may be performed under direct supervision of either GP or senior dispenser:

  • Dispense medication as stated on prescriptions, maintaining accurate dispensing records and ensuring that medication is labelled with the correct drug name, strength, quantity, directions for use, patient name and includes any additional information. This will be under direct supervision of either GP or senior dispenser.
  • Provide a second check on medications issued.
