Job summary

We are looking for an enthusiastic and tech-savvy Rota and Digital Support Manager to join our busy training practice. This pivotal role combines digital systems management with responsibility for creating and maintaining GP and student rotas. Youll work closely with the Practice Manager, clinicians, students, and external providers such as Digital Health and Care Wales (DHCW), ensuring our IT systems run smoothly and that student rotas and inductions are coordinated efficiently. This is a non-HR role focused on system support, rota coordination, and digital oversight ideal for someone who thrives in a structured but fast-paced clinical setting.

Main duties of the job

Main Duties:

Develop and maintain GP rotas and student schedules, ensuring adequate cover across all clinical areas.

Coordinate inductions and IT setup for new clinical and student staff.

Support the organisation and delivery of immunisation campaigns (e.g., flu and COVID).

Provide first-line IT support across the practice, liaising with DHCW as needed.

Act as the main contact for EMIS Web, Codi, NWSSP, and Intrepid-related issues.

Manage and submit data reports as required by the practice and external stakeholders.

Work closely with the management team to ensure clinicians and students have the digital tools needed to work effectively.

Support the surgery in identifying and implementing new digital solutions while ensuring existing systems are used efficiently and to their full potential

Job responsibilities

Key Responsibilities:

Rota & Student Management

Create and maintain GP and student rotas, ensuring appropriate clinical coverage.

Liaise with the trainers regarding student needs, including tutorials, SDL, VTS and exams.

Authorise and record student leave, ensuring accurate tracking and communication, coordinating rotas around annual/study leave and teaching commitments.

Coordinate inductions and IT set up for new clinical staff.

Liaise with trainers and educational leads to support student onboarding and placements.

Deliver student and GP inductions and ensure access to clinical systems.

Submit monthly student reports to the management team

Digital Systems & IT Support

Act as the main contact for digital systems such as EMIS Web, Accurx, Codi, NWSSP, and Intrepid.

Liaise with DHCW and third-party providers for escalated IT support and system issues.

Manage user access, troubleshoot problems, and escalate unresolved technical issues.

Support the surgery in identifying and implementing new digital solutions while ensuring existing systems are used efficiently and to their full potential.

Oversee NHS email account setup, password resets, and IT onboarding processes.

Provide support to the Practice Manager and wider management team on educational operations

Data Reporting & Compliance

Ensure timely submission of digital data and reports.

Support audit, QI projects, and data management with accurate and relevant extracts.

Monitor and maintain awareness of NHS digital governance policies and confidentiality protocols.

Campaign Support

Provide rota and digital logistics support for flu, COVID, and other immunisation campaigns.

Assist clinical teams with data input, clinic setup, and reporting.

Person Specification

Qualifications

Essential
  • Experience in IT support or systems administration
  • Ability to prioritise tasks and meet multiple deadlines
  • Understanding of data protection and NHS confidentiality protocols
  • Strong written and verbal communication skills
Desirable
  • Knowledge of EMIS Web and GP digital tools
  • Experience creating rotas and managing data/reporting systems
  • Familiarity with NHS systems (Codi, NWSSP, Intrepid)
  • Experience supporting students in healthcare/education environment
  • Experience working in a Primary Care or NHS setting
