The Orthopaedic Department have an exciting opportunity for a Band 5 Service Coordinator.

The orthopaedic department consists of an Admin team of 2 service coordinators, who have line management responsibility for 13 medical secretaries and 5 waiting list coordinators between them.

The service coordinators, as well line management duties, oversee the Medirota for the Consultant body, communicating consultants annual and professional leaves out to all relevant teams, and ensuring that any clinical duties are covered or reduced as necessary. The role also entails PTL validation, setting up ad hoc clinics and liaising with all different departments within the Trust, arranging theatre cover, to ensure the smooth running of the department.

This is a fixed term position to cover maternity leave for one of these service coordinators. This is a Monday to Friday position, working core hours varying between 8-4 or 9-5. There is some flexibility with this. This is a cross site position, which will vary depending on the needs of the service at the time.

Main duties of the job

The main objective of this post is to support the administrative functioning of the Trauma & Orthopaedic department, and to ensure the smooth day-to-day operational running of it.

The successful post holder will be responsible for ensuring that all administration related to the department is organised and completed in a timely fashion.

The post will have specific responsibilities of validating the Orthopaedic PTL, managing the team of medical secretaries and administrative staff at St. Albans and Watford, as well as being involved in supporting the doctors' electronic Rota and Nursing staff.

The post holder will be a line manager, responsible for the management of Orthopaedic secretarial, waiting list Coordinator and admin staff at St. Albans and Watford. This will require the post holder to liaise with colleagues to ensure there is appropriate cover and that any problems or difficulties are dealt with promptly.

The post holder will be expected to provide the Assistant Service Manager with relevant reports and information as requested, on a weekly basis with deadlines attached to these.

The role comprises a wide range of specific duties and requires skills in word processing, information technology, communication and organisation as well as a sound knowledge and understanding of medical terminology.

Person Specification

Education and qualifications

Essential
  • Educated to Degree level or equivalent experience
Desirable
  • Formal management or administration qualifications (BTEC or equivalent) ECDL.
  • Cerner (EPR) / PAS experience

Knowledge

Essential
  • Knowledge of various computer applications (e.g. Microsoft Office products) and E-mail (Outlook)
  • Knowledge of the NHS targets
  • Knowledge of EPR systems
Desirable
  • Leadership and management qualifications and experience.
  • How to schedule appointments and admission dates within CERNER.
  • Orthopaedic terminology
  • Knowledge of rota compliance.

Experience

Essential
  • Experience of working within the NHS and an understanding of current issues affecting the service.
  • Experience in working in a customer focused or healthcare focused environment
Desirable
  • Line management experience
  • Previous experience working as an NHS coordinator or administrative role requiring multi-tasking.
  • Experience of making and delivering changes within a team.
